Handling of Personal Informationy
"Handling of Personal Information" stipulates the basic guideline of Hokkaido University CATS for the personal information that Hokkaido University CATS acquires and uses.
As an entity handling personal information, Hokkaido University CATS has established the following "Privacy Policy" and complies with the Act on the Protection of Personal Information and associated laws and regulations and the "Handling of Personal Information" when handling personal information (information about an individual whose identity is ascertained from name, date of birth, or other descriptions contained in the information).

Complies with the University regulation that stipulates appropriate acquisition, use, and provision of personal information in accordance with the contents and scale of projects;
Takes measures to prevent leakage, loss, or damage of personal information and immediately implement corrective measures when either of them mistakenly occurred;
Complies with laws and regulations, national guidelines, and other rules concerning personal information;
Responds to inquiries about personal information faithfully and promptly, and Continuously improves its personal information management system.
Use of Personal Information
Hokkaido University CATS uses personal information only for the following purposes after specifying the purpose of use as much as possible excluding when individuals providing their personal information consent to in advance or when obtained personal information has been approved as exceptions by the Act on the Protection of Personal Information or other laws and regulations.
- Provision of various information
- Identity verification and preparation of documents
- Delivery of various items
When CATS needs to use personal information for purposes other than the above, CATS shall obtain consent from the individual concerned excluding when individuals providing their personal information consent to in advance or when obtained personal information has been approved as exceptions by the Act on the Protection of Personal Information or other laws and regulations.
Hokkaido University CATS may outsource a part of businesses including that needs handling of personal information when necessary. In such cases, CATS shall keep the personal information under proper management.
Provision of Personal Information to Third Parties
Hokkaido University CATS will neither provide nor disclose the personal information it obtained to any third-party excluding the following conditions.
- When the person provided his/her personal information consents to
- When the provision or disclosure of such information is needed to protect the live, body, or assets of any person and it is difficult to get consent from the person provided his/her personal information
- When the disclosure or provision of personal information is legally required
Disclosure, amendment, and abandonment of usage
Hokkaido University CATS will disclose personal information to the person provided it upon his/her request unless such disclosure does not disrupt proper operation of CATS. In such cases, Hokkaido University CATS will perform identity verification following its standard method.
When the personal information disclosed to the person provided it contains false information, Hokkaido University CATS will immediately correct it. In addition, Hokkaido University CATS will immediately cease to use personal information upon receiving a request to do so from the person provided it.
Internet Security
When accessing CATS website or sending an email, please understand that although CATS pays due attention when handling of personal information, it can’t guarantee the complete confidentiality of personal information communicated via internet or e-mails by their nature.
Amendment
"Handling of Personal Information" may be amended without prior notice according to changes in associated laws and regulations or the policy of Hokkaido University CATS.
