These “Personal Information Handling Policies” define general guidelines on obtaining and utilizing personal information for the “Hokkaido University Center for Advanced Tourism Studies”.

At “Hokkaido University Center for Advanced Tourism Studies”, personal information (any information pertaining to the individual that could be used to specifically identify that individual, such as name or birthdate) shall be handled in such manners as defined in the following “Personal Information Protection Guidelines”, in compliance with laws pertaining to personal information, any related laws and regulations, and the “Personal Information Handling Policies”.

Personal Information Protection Guidelines

Obtain and utilize personal information in an appropriate manner, upon consideration of the nature and scale of the business. Such utilization and provision shall comply with school regulations.
Take measurs to prevent mistaken disclosure, loss, or damage of personal information, and in the unlikely occurrence of such, promptly implement corrective measures.
Comply with all standards pertaining to the handling of personal information, such as laws and regulations, or nationally-established guidelines.
Promptly respond in good faith to any inquiry regarding personal information.
Continuously maintain and improve personal information management systems.

Utilization Purposes

The “Hokkaido University Center for Advanced Tourism Studies” shall specifically define utilization purposes of personal information, and additionally only use personal information when prior consent has been received, or upon confirmation of precedent of such handling under laws pertaining to personal information protection or other relevant laws and regulations. Personal information shall be used within the scope of the following purposes.

■Providing Information ■Creating Identity Verification or other Documents ■Mailing or Shipping

When it becomes necessary to utilize personal information for purposes other than stated above, except when the prior consent of the person in question has been received, or upon confirmation of precedent of such handling under laws pertaining to personal information protection or other relevant laws and regulations, the consent of the person in question must be received in order to use the personal information.

Furthermore, at “Hokkaido University Center for Advanced Tourism Studies”, some business operations are consigned to contractors, and personal information may be consigned to these contractors within the extent necessary. In such cases, appropriate management shall be carried out according to relevant laws and regulations.

Provision to Third Parties

Except in the cases stated below, when “Hokkaido University Center for Advanced Tourism Studies” obtains personal information, said information shall not be provided to any third parties.
■If consent is received from the person in question
■If the information is necessary to protect a person’s life, health, or assets, and it is difficult to obtain consent from the person in question

Release, Correction, or Cease of Utilization

As long as “Hokkaido University Center for Advanced Tourism Studies” business operations are not obstructed, upon the request of the person in question, personal information shall be provided to that person. In such cases, the “Hokkaido University Center for Advanced Tourism” shall use specified methods to confirm the identity of the person in question.
If the personal information released to the person in question is false, “Hokkaido University Center for Advanced Tourism Studies” shall promptly correct the information. Furthermore, upon the request to cease utilization of personal information from the person in question, “Hokkaido University Center for Advanced Tourism Studies” shall promptly cease utilization.

“Hokkaido University Center for Advanced Tourism Studies” shall make all reasonable efforts to manage personal information, however, due to the nature of the Internet and protocols such as e-mail, it is not possible to absolutely guarantee the complete protection of all personal information. These “Personal Information Protection Guidelines” are subject to change without notice due to amendments in relevant laws or regulations, changes to “Hokkaido University Center for Advanced Tourism Studies” policies, etc.
